Setting Up Mail Rules

Microsoft Outlook

  1. From the menubar, select Tools, then select "Rules Wizard".
  2. When the Rules Wizard dialog box appears, click "New"
  3. In the upper list, select "check messages when they arrive"
  4. Click "Next"
  5. In Upper box, check the box with the phrase "with specific words in the subject"
  6. In the lower box, click on the underlined phrase "specific words".

  7. The "Search Text" dialog box will appear. Type:

    (SPAM)

    in the "Add New" box.

  8. Click "Add", then Click "OK".
  9. Click "Next"
  10. In the upper box, check the item that says "move it to the specified folder".
  11. In the lower box, click on the word "specified" in the phrase, "move it to the specified folder".

  12. The "Choose a folder" will appear. Click "New"
  13. The "Create New Folder" dialog will appear. Type:

    spam

    in the "Name" box (you could also use junk, or junkmail, or any other name for this folder).

  14. Once you've named the new folder, click "OK".
  15. If you're asked "Would you like a shortcut to this folder added to your Outlook bar?", you'll probably want to click "No".

  16. At this point, you'll see a list of mail folders, where the one you just created is highlighted. Click "OK"

  17. You're now back to the main Rules Wizard dialog. The rule description should now read
  18. Apply this rule after the message arrives
    with (SPAM) in the subject
    move it to the spam folder

  19. The upper box should be labeled "Add any exceptions (if necessary).
  20. Click "Next"
  21. The upper box should be labeled "Please specify a name for this rule". If you wish you can change the name of the rule.
  22. If you already have messages that have been marked by the junk mail filter, you can check the box that says "Run this rule now on messages in ...". Make sure that "Turn on this rule" is checked.
  23. Click "Finish"
  24. Click OK to close the Rules Wizard
  25. Your mail rule setup is complete.
